We are seeking a highly organized, proactive, and detail‑oriented Executive Assistant, Finance to support the Chief Financial Officer and the broader Finance Department. This role is an integral member of the Finance team, delivering high‑level administrative, operational, and project support to ensure the smooth functioning of the team.
Key Responsibilities:
- Manage complex calendars, email inboxes, and scheduling for the CFO and senior Finance leaders.
- Coordinate and prepare for meetings, including scheduling, agenda development, room bookings, catering, and technology set‑up.
- Draft, edit, and prepare confidential correspondence, presentations, and reports.
- Prepare and distribute daily financial reports and monthly financial reporting packages.
- Assist in preparing the annual budget presentation in PowerPoint.
- Manage monthly AMEX expense reports and ad‑hoc expense submissions.
- Review and distribute monthly, quarterly, and annual Partner‑related communications.
- Administer the corporate credit card program.
- Coordinate firm insurance applications, vendor credit applications, and related documentation.
- Support departmental projects and initiatives, including data collection, document preparation, and follow‑ups.
- Carry out special projects and other duties as assigned.
Requirements:
- Post‑secondary education in business administration, finance, or a related field.
- Minimum of 3–5 years of administrative assistant or executive assistant experience, ideally in a professional services or corporate environment.
- Exceptional attention to detail, with strong writing, proofreading, and editing skills.
- High degree of professionalism, discretion, and ability to handle confidential information.
- Proven problem‑solving abilities and demonstrated critical thinking.
- Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint, Teams) and Adobe.
- Basic understanding of accounting principles is considered an asset.
- Strong client‑service orientation with the ability to anticipate needs and manage competing priorities.
